Residence Life

Students participating in Commencement ceremony check out of the residence halls by 5 p.m. on Saturday, May 22, 2010. 

 

Residence Life staff encourages all residential students to plan ahead in preparation for their check out day in the following ways:

  • Keeping and maintaining a clean room during the next few weeks
  • Begin packing up items not needed for the remainder of the semester, winter clothing, etc.
  • If your student plans on visiting home prior to their checkout date, begin taking items home with them
  • As Manhattanville College does not provide on campus storage, students who do not intend to take belongings home should research off-campus storage options.  Both the Office of Residence Life and the Office of International Student Services have contact information for various off-campus storage facilities
  • Speak with building RA’s and/or their building Resident Director about arranging a time to officially check out of their room for the year.

 

Students are encouraged to schedule appointments for check-out times a minimum of 24 hours in advance of the actual time the student needs to check-out to ensure staff availability.   During the check-out appointment the student and their Resident Advisor will quickly review the Room Condition Report (RCR) and the student will turn in their keys.  If major issues with the living space exist -the room has not been cleaned, personal items have been left in the room, etc., the student will be asked to resolve the issue before leaving.  Resident Advisors will maintain regular office hours in each building staff office throughout the business day and early evening during finals week in order to assist with the check-out process.  Please be aware that students could be assessed a $75.00 improper check-out fee for improperly checking out of a room and additional fees of $100 per key for failure to return room keys.

 In cases where a sudden departure becomes necessary students may choose to use the Express Checkout option.  Express Checkout involves the student completing short form, inserting keys into an envelope and dropping the sealed envelope at a designated drop off point within their building without involving Residence Life staff. 

Residents who choose to this option should be aware however that they lose the ability to appeal any end of semester damage billing charges by taking the Express Checkout option. Express Checkout forms may be obtained from any building RD office.  Staff schedules during check out differ for each building  so please encourage your student to touch base with a Residence Life staff member in their building to insure a smooth and stress free check out.

 

 

End of Year Damage Billing

 

The Manhattanville College Student Handbook states the following:

“Damage to property, whether College property or property belonging to other person(s), is prohibited. Occupants of residence hall rooms will be held responsible for damage to the room or furnishings. Any damage by students to College property will be charged to the student.  Charges for damages to residence hall common-use areas and furnishings therein will be assessed equally to all residents of the residence hall. Should the identity of the person(s) responsible for the damage in common areas be known, that individual(s) would be properly assessed for the necessary repairs. All building common area damages will be billed equally to all the residents of that building”.

Assessment of damage charges occurs in a number of ways:

  • Resident Directors of each building track common damage occurring over the course of the academic year.  Students are periodically informed of common building damage totals and are encouraged to come forth with any information they may have about individuals responsible for causing damage.  If responsible parties are not found, all common building damages are divided evenly amongst building residents and included on each student’s end of year damage invoice.

 

  • Resident Advisors take a brief initial damage inventory during the check out process (see article on Checking Out of Residence Halls).  Students may be asked to correct some issues, cleaning, removal of extra furniture, removing tape from walls, etc, at the time of check out to avoid potential damage charges.  The current condition of the room and room furnishings will be compared to the condition indicated on the Room Condition Report Form (RCR) which your student reviewed and signed at check in.  Students will be assessed charges for damage beyond normal wear and tear

 

  • After all students have completely vacated the living area Resident Directors and Physical Plant staff thoroughly inspect each living area to assess damages and assign any relevant charges.  This inspection may reveal damages which an RA may have missed during the check out process.

 

  • The total of all charges are added to each students College account and an invoice of damage charges are sent to the home address on file with the College.  Invoices are typically sent out within three weeks of the students check out.  The due date for payment, typically mid-June, will be indicated in the invoice.  With the exception of students who use the Express Check Out option (see article on Checking Out of Residence Halls), students have the ability to appeal damage charges.  Appeals must be submitted in writing to the Resident Director of building in which the student lived by the due date indicated
